Who is responsible

Acre to Tables by Reincer™ is operated by John David Reinhard, a sole proprietor based in Alberta. David handles privacy, support, complaints, accessibility requests and security inquiries.

John David Reinhard, operating as Reincer, 322180 20 St W, Foothills, AB T1S 7B6, Canada. david@reincer.com.

Information and purposes

The service processes account and recovery contact details, sign-in and security information, farm memberships and roles, and the records and files you or authorized members enter. These can include inventory, equipment, property, recipes, ingredients, nutrition sources, prices, calendar entries and documents. Support messages and necessary approval or policy-choice records can also contain personal information.

We use this information to provide the functions you request, maintain your authorized farm access, respond to requests, record choices and protect the service. Supply only information you have authority to share. Farm members may see information according to their farm roles; a shared farm workspace is not a private inbox.

Do not put passwords, recovery codes, payment-card details or unnecessary identity, health or child records into farm entries or support email.

Service providers and external requests

Hosting infrastructure supports storage and operation. DigitalOcean is the reported hosting provider. Configured Postmark email delivery receives recipient addresses and message content. Contact messages go to the operator's configured support inboxes. GitHub is used for source hosting; that fact alone does not mean customer farm records are stored there.

When Cloudflare Turnstile is enabled on the contact form, the browser communicates with Cloudflare for an anti-abuse check. Cloudflare can process technical signals such as IP and browser information. A barcode lookup sends the entered barcode to Open Food Facts to retrieve product information; its results do not establish product accuracy.

External providers may process information outside Canada, where local laws can apply. Ask David about the providers and locations used for your information. No particular data-residency or backup-coverage guarantee is offered. The cookies and browser-storage page explains browser requests and storage separately.

Your choices and requests

Contact david@reincer.com to request access to or correction of your personal information, ask about its use, withdraw a consent where applicable, request deletion or make a complaint. David may ask for proportionate information to confirm identity and authority. Do not send identity documents unless a specific justified request is made.

We review requests under the applicable privacy law, explain any necessary restriction and use its response deadlines. Withdrawal can affect a function that requires the information; optional marketing choices are separate from account access. Another member's information must be protected when responding.

A farm member's request does not authorize deleting the whole farm or other members' records. Cancellation of renewal, account closure, membership removal and privacy deletion are different actions. Existing copies downloaded or shared outside the service cannot be recalled by changing your account.

Retention and security

David has approved a category-specific retention schedule. Required financial and tax records have a seven-year business retention target from the relevant tax-year end, subject to longer legal requirements and limited to necessary financial fields. Other information follows its service, shared-ownership, contract, consent or security purpose; unnecessary information should be minimized sooner.

The schedule includes manual minimization and review targets for closed accounts, verification copies, support, privacy cases and logs. Approval of the schedule is not a promise that automatic cleanup exists or that every requested deletion will finish on a fixed date. David reviews authority, shared ownership, continuing rights and any specific hold, and can explain the applicable timeframe. Actual backup and provider expiry still require verification; removal from the active service does not prove removal from every copy.

Authentication, farm boundaries and role restrictions protect access. No online service guarantees absolute security or recovery of every lost record. Keep your own copies of critical information using available exports. Report suspected unauthorized access or disclosure promptly to David.

Minors and program verification

A parent or legal guardian authorizes a minor's participation and handles billing. An authorized minor may have a member login with suitable permissions. Program approval uses proportionate leader and guardian confirmation; an account or 4-H benefit is not marketing consent. Avoid providing unnecessary birth dates, identity documents or information about other children.

Policy changes

This version explains the service's information handling. Reading it is not agreement to an unrelated optional purpose. A new use requiring consent must be explained and agreed separately. Contact David about a material change or an earlier policy version.
